ABOUT OFFICE OF COE


The conduct of examinations and declaration of results is one of the important activities of Office of the Controller of Examinations of the K.L.E Society’s R.L.Science Institute, Belagavi. The Examination Section is the backbone of the examination system. It is of paramount importance that the examinations are conducted with utmost precision, fairness and objectivity to gain public credibility and esteem. The Principal of the College is Chief Controller of Examinations .Office of the Controller of Examinations (COE) is headed by Controller of Examinations and assisted by Deputy Controller of Examinations. All examination related activities are carried under the supervision of office of COE.

FUNCTIONS & RESPONSIBILITIES OF OFFICE OF COE


  1. Issue of academic calendar and schedule of examination.
  2. Preparation of detailed internal examination and Semester End Examination (SEE) time tables and their publication in time.
  3. Appointment of internal examination committee and supervision of conduct of internal exams in time.
  4. Notification of examination, fees and inviting applications from the candidates for registering into comprehensive examination, issuing the grade cards and such other related work.
  5. Scrutiny of examination application forms of candidates before the commencement of Practical/ Theory examinations.
  6. Scheduling the meeting of Board of Appointment of Examiners (B.O.A.E) and Board of Examiners (B.O.E).
  7. Preparation of the subject-wise, paper-wise and date-wise statement to print question papers with code. The question paper packets shall indicate course, subjects, semester, date of examinations, time of examinations, and number of question papers in each packet etc.
  8. Maintenance of all records, statistics, stock registers and database of candidates pertinent to examinations.
  9. Processing and passing of Bills of remuneration of TA, DA, and other Conveyance/Allowance.
  10. Appointment of Chief Superintendents in consultation with Principal for the comprehensive examinations and issue of instructions regarding the conduct of examinations.
  11. Appointment of officials and other staff required for conduct of examination.
  12. Announcement of selection and issue of appointment orders to the internal and external examiners, Paper setters etc.
  13. Arrangement for conducting examination, collection of answer papers, evaluation, processing and declaration of results.
  14. Preservation and disposal of valued answer scripts at least for three Years after the announcement of results.
  15. Arrangement for preparation and distribution of marks cards and other certificates to the candidates.
  16. Collection and maintenance of statistical data regarding the number of examinations, number of candidates registered for each examination, the number of boys, girls, regular candidates and repeaters, percentage of passes, receipts and expenditure on each category of examination.
  17. Preparation of rank lists and their transmission to appropriate authorities/bodies.
  18. Collection of work done statements from the B.O.E Chairmen, Paper setters and Examiners and forwarding them to the accounts section for payment of remuneration.
  19. Arrange for photo-copy/challenge evaluation of valued answer-booklets requested by the candidates on prescribed application form with due fees.
  20. Assisting in constitution of committees to deal with all types of cases of misconduct/ malpractices, detected before, during and after examinations. Dealing with matters of examination fees and refunds if any.
  21. Announcement of results of examinations, dealing the cases of withheld results for future announcement and follow up work in cases of any discrepancies in the issue of duplicate marks card, consolidated marks card, rank certificate etc.
